Wanted: churches administrator

The Barry Ministry Area comprises the four Anglican Churches in Barry — All Saints’ Barry, Merthyr Dyfan, St Mary’s Barry Dock, and St Cadoc’s Cadoxton.

We are looking for a new part-time Administrator, to undertake MA administration including weekly communication, running hall bookings and invoicing and ordering. 

8 hours per week — salary £24,570 p.a. pro rata

Based in the Church Office and Hall to the rear of All Saints’ Church (Park Road, Barry).

Job Description 

Key Responsibilities:

1. Administrative Support:
  • Provide general administrative support to the clergy, lay officers, and volunteers in a welcoming and sensitive manner, ensuring the needs of the community are met.
  • Assist in the organisation of church events and activities, helping to manage schedules and communications.
2. Record-Keeping and Filing:
  • Maintain accurate records of correspondence, meetings, and financial transactions, ensuring compliance with confidentiality procedures.
  • Organise and manage filing systems, ensuring documents are easily accessible and well-maintained.
3. Book keeping and Financial Administration:
  • Assist with financial management, including maintaining records of donations, expenses, and assisting with budget preparation.
  • Process invoices, receipts, and manage petty cash as necessary.
4. Office Management and Supplies:
  • Maintain office and church supplies and equipment, ensuring all necessary materials are stocked and operational.
  • Support the office’s evolving needs by suggesting improvements and assisting in the smooth functioning of day-to-day tasks.
5. Communication and Correspondence:
  • Manage and prioritise incoming communication, ensuring that inquiries are directed appropriately and responses are timely and clear.
  • Draft and proof read written communication, ensuring clarity, accuracy, and a tone that is sensitive to the diverse community.
6. Team Collaboration:
  • Work effectively within a broad team of clergy, lay officers, and volunteers, providing administrative support as needed.
7. Website and Digital Management:
  • Assist with website updates and management, ensuring content is accurate, timely, and relevant.
  • Support digital communications, such as email newsletters and social media, to engage with the wider community.
8. Support Church Management Systems:
  • Assist in managing and maintaining church management software (e.g., ChurchSuite or iKnowChurch), ensuring data is up to date and accessible when needed.
9. Continuous Improvement:
  • Contribute ideas to improve office workflows and processes, ensuring the team can work efficiently and effectively in meeting the needs of the church community.

Person Specification

We are looking for someone with a flexible attitude, with a willingness to learn and be adaptable but also able to welcoming and sensitive to a wide range of people who may contact the MA office.

We need someone with the ability to work with a broad team, clergy and lay officers, and volunteers and someone who fully understands and upholds the need for confidentiality.

We need someone who:

  • Has excellent organisational skills; 
  • Is able to deal with correspondence, prioritise and managing their own workload
  • Can assist with evolving the office work
  • Has good communication skills, written and spoken
  • Has extensive experience with MS Office
  • Is able run the MA Website
  • Can undertake simple accountancy tasks.
Essential Qualifications:
  • GCSE-equivalent English and Maths at grade C or above
Desirable:
  • Book-keeping and financial administration qualifications and/or experience 
  • A good understanding of and sympathy with the Church in Wales or another Anglican church
  • Welsh speaker (or willing to learn)
